Mechanical Contractor Embraces Security and Control Through Integration

Minnesota-based Sun Mechanical, a plumbing and heating contractor, outgrew its accounting software and sought a system that offered security and flexibility.

Challenge

Integration and security were characteristics the owner required in a comprehensive accounting system.

Solution

Secure permissions mean more control with Sage Timberline Office. The owner is able to allow workers to perform certain accounting tasks without providing access to all of the data and applications.

Results

The integrated Sage accounting and cash management system gives the owner the peace of mind of knowing the accurate cash on hand position at any time.

Owner Kelly Grotte liked what she saw when she looked at Sage Timberline Office accounting software.

“I was looking for a system that had the security and features I needed with separate modules but with the ability to pull it all together in a secure fashion,” Grotte says. “Sage Timberline Office had what I needed. I absolutely love it. I’ll probably never change software.”

“Cash Flow Is Everything”
One of Grotte’s favorite Sage Timberline Office applications is Cash Management, which allows her to check her cash balance at a glance.

“Cash flow is everything,” Grotte says. “Before Cash Management, I had to go into the general ledger to see the cash balance. When you end a quarter or the year, you wait longer to close the previous month, and you are somewhat in the dark as to your actual cash balance. Now I know my cash balance all the time. Also, doing monthly cash reconciliation is much nicer—Cash Management actually has a reconciliation feature, and it makes the job much easier.”

Secure Permissions Mean More Control
Grotte likes the way Sage Timberline Office allows her to permit workers to do some accounting tasks without giving them free rein with the data. She’s able to limit the accessibility of certain applications, which gives her peace of mind. “They can’t just go in and make changes,” Grotte says. “Data is more secure.”

Assurance of Continuous Improvements
Grotte appreciates the regular upgrades to the accounting application too. Each time a change is made, the software gets better, she says.

“They’re always making changes. They know their software isn’t perfect, and they’re constantly working to try and make it better, trying to serve more people,” Grotte says. “I haven’t seen a change that didn’t improve the software.”
